Committees and Job Descriptions
 
Executive Board Members
President
  • Responsible for overall operation of band booster organization
  • Responsible for the running of Executive Committee Meetings and General Booster Meetings
  • Call all meetings of Boosters and Executive Committee
  • Responsible for volunteer relations with the School Administration
  • Works with Band Director to establish annual calendar of events
  • Responsible with Band Director to get accurate scheduling information to Communications Committee for posting on web-site and newsletter
  • Acts as ex-officio member of all commitees
  • Appoint chairpersons to all committees / standing and ad hoc with approval of Executive Committee
CO- Vice President of Operations (2 persons/shared position/one vote)
  • Oversee the committees and activities listed (travel, volunteers, props, pit crew, uniforms)
  • Be available to chair meetings in absence of the President
  • Oversee the overall operations of the CHS Band Boosters
  • Serve on the Executive Committee
VP-Finance/Treasurer
  • Oversee the following committees (treasurer, assistant treasurer, fundraising, concessions, audit)
  • Embrace computer technology for record keeping
  • Must be bonded (to be paid for by boosters)
  • Make deposits as needed
  • Write checks weekly
  • Keep files on all deposits, expenses vouchers(or receipts), invoices, ect.
Secretary
  • Take minutes during meetings
  • Distribute minutes to board members in a timely manner and before the next meeting
  • Make any changes to the minutes from feedback from the board
  • Distribute updated minutes to the board at the next meeting
  • Keep minutes of booster meetings
  • Provide and maintain booster sign-up sheets for booster meeting
  • Obtain medical forms from all student at the beginning of the year – compile note book
  • Collect any type of document for historical files
  • Communication Coordinator
At-Large
  • Assist in all areas as needed
  • Chair committees/events as identified
At Large
  • Assist in all areas as needed

Fundraising
  • Organize all fundraising efforts
  • Publicity for all fund raising efforts
  • Organize reports for treasurer
  • Organize reports to assistant treasurer (for fair share credit)
Seat Positions
Assistant Treasurer
  • Post all student payments to accounting software.
  • Provide students with account billing statements monthly
  • Reconcile all bank statements to general ledger
  • Provide board with financial status reports as requested
  • Work with accountant to prepare taxes
Communications
  • Chaired by secretary
  • Record all minutes of meetings (Executive Committee and General Meetings)
  • Post all general meeting minutes on web site
  • Responsible for Monthly newsletter (during marching season)-every other month in off- season
  • Responsible for WEEKLY updates of web site
Travel
  • Transportation
  • First Aid – nurses
  • Reservations
  • Food/drinks
  • Bus drivers for local competitions
  • Water for students/pit and prop for competitions
Props Committee
  • Construction and maintenance of all props
  • Recruiting of crew
  • Trailers – including maintenance issues
  • Drivers of above
Pit Crew
  • Organize drums and front end equipment for travel
  • Organize drums and front end equipment for football games
  • Organize list of volunteers to assist in moving equipment for games and competitions
  • Repair as able all equipment needing repair
  • Report all maintenance and repair issues to Band Director
  • Coordinate with props committee for truck/trailer issues
Uniforms
  • Maintenance and repair of uniforms
  • Alterations of uniforms
  • Cleaning of uniforms
  • Hand out plumbs just before entering competition and retrieval immediately upon leaving field
Concessions
  • Plan all concessions programs
  • Responsible for all food purchases
  • Responsible for equipment upkeep/rentals
  • Organize manpower needs
  • Train all volunteers-cross train if possible
  • Keep concession stand clean and neat
  • Furnish weekly income reports
  • Have treasurer or assistant treasurer available to recount all funds.(Counting does not have to happen game night-must be done by the following Monday night)
Clayton Band Classic Chairperson/AIA Chairperson
  • Plan the events
  • Work with other committees as needed for volunteers, finance, ect.
  • Work within budget
  • Work with the fundraising committee for corporate sponsors & ad sponsorships for Clayton Band Classic Program
  • Report to Booster organization for debrief after each classic
  • Agree to assist incoming Classic Chairman the next year
Flags
  • Work with instructor to understand flag design
  • Coordnate volunteers for making the flags
